Invoices for a purchase
Who issues them, when they arrive, how to get a company invoice and what to do if you don't have one.
Who issues the invoice
The seller of the course, meaning the trainer or company running the academy. Not Cohorta.
That follows from how the sale works: the money goes to the seller, so they account for it to the tax office and they issue the document. We provide the tool, in the same way that an online shop platform isn't the seller of the shoes.
The practical consequence: if you don't have an invoice, write to the seller, not to us. You will find their details in the terms on the product page or on the payment confirmation.
When it arrives on its own
Some academies have automatic invoicing through Fakturownia, a Polish invoicing service. In that case the invoice arrives by email, usually a few minutes after payment, sent from the seller's system.
Others issue invoices manually, on request. In that case nothing arrives until you ask.
There is no way to tell in advance which academy has what enabled, because that is their decision.
A company invoice
The easiest way is to ask when you buy. In the purchase form on the product page, tick "I want a VAT invoice", choose "Company" and enter your tax ID (NIP for Polish companies) and company details. When paying while logged in, you enter the company details and tax ID on the payment page.
If you didn't do that, write to the seller as soon as possible and include:
- the full company name,
- the registered address,
- the tax ID,
- the course name and the date of purchase.
Ideally do it in the same month as the purchase. Issuing a company invoice for a purchase made several months ago can be awkward for the seller for tax reasons, and sometimes impossible.
A different document instead of a VAT invoice
The type of document depends on the seller. A seller who isn't VAT registered issues, for example, a bill instead. That is their tax obligation, not ours, and we have no influence over it.
The invoice has a mistake
Corrections are issued by the seller. Write to them and say exactly what is wrong: the name, tax ID, amount or date. The more precise you are, the faster it goes.
Invoices from Cohorta for academies
That is a separate matter. If you run an academy, our invoices for the commission on sales are in Settings, in the "Payments and invoices" group, under "Platform invoices". They also arrive by email at the beginning of each month. For an invoice for the Cohorta subscription plan itself, write to us.
Don't mix the two up: the invoice for a course comes from the course seller, the invoice for the platform comes from us.
When to write to us
- You run an academy and are missing an invoice from Cohorta.
- You can't reach the seller in any way.
For all other invoice matters, it's faster to deal directly with the seller.
