1. First steps and your account
This chapter takes you from creating an account to everyday work in Cohorta. It covers the glossary, roles, signing up, logging in, passwords, creating and switching academies, the setup wizard, the Dashboard, menus, search, notifications, language and theme, settings and your profile.
1.1. Glossary to get started
What it is for: so that you understand the words you see on Cohorta's screens.

| Administrator | The person who runs the academy: products, members, payments, settings. Whoever creates an academy becomes its administrator. |
| Product | What the academy offers or sells: a course, ebook, bundle, membership, cohort programme and more (see chapter 2). |
| Pricing option | How a product is paid for: free, one-time or subscription (see chapter 2). |
| Programme, module, lesson | The content of a course. A programme is split into modules, a module into lessons (see chapter 4). |
| Space | A separate channel in the community, such as Announcements or Questions. Posts are written in spaces (see chapter 5). |
| Event | A session with a date and time, such as a webinar or workshop (see chapter 6). |
| Certificate | A PDF document for completing a course (see chapter 4). |
| Dashboard | The first screen after you enter an academy. It shows what matters for your role. |
| Side menu | The bar on the left with the list of screens. On phones and tablets it hides behind the menu icon. |
| Account menu | The drop-down menu under your photo or initials in the top right corner. |
| Cohorta subscription | The plan the academy pays Cohorta for: Free, Starter, Growth, Scale, Enterprise. The plan belongs to the academy, not to your account (see chapter 8). |
| Features | Switches the administrator uses to turn parts of the academy on and off, such as Community, Gamification, 1:1 mentoring (see chapter 8). |
| Streak | The number of consecutive days with activity in the academy. You see it when gamification is on in the academy (see chapter 7). |
| Public profile | Your card at cohorta.pl/profil/…, shared by all your academies. Off by default. |
Important: if you cannot see a screen described in this guide, it is usually not a fault. Your role may not have access to it, or the administrator may have turned that feature off in the academy. Ask your academy's administrator.
1.2. Roles and who sees what
What it is for: so that you know what to expect in the menu and on the Dashboard in your role.
Who can see it: everyone. You can check your role on the academy selection screen (the Role label on the academy tile) and in Settings in the Your role field (see section 1.14).

Chapter 10 describes in detail what a trainer, manager and moderator can do.
What else affects the menu
- Features switched on in the academy. When the administrator turns off Community, for example, the Community, Spaces and Moderation items disappear. Mentoring, Gamification, Automations and Certificates also appear only when they are on (see chapter 8).
- The Billing item in the For you section appears only in academies where this module is switched on.
- Number of academies. You only see the academy switcher at the top of the side menu when you belong to at least two academies (see section 1.7).
What happens automatically
- The person who creates an academy gets the administrator role. On the academy selection screen this role is called Academy admin, on the members list Admin.
- A person who joins from an invitation gets the role chosen in the invitation (see chapter 7).
- You cannot give or take away the Owner role from the members list. The owner also cannot be removed from the academy.
1.3. Creating an account (sign-up)
What it is for: you create your Cohorta account. You need an account to learn in an academy or to set up your own.
Who can see it: anyone who is not logged in.
Where to find it: login screen → the Create a free account link next to First time?. Every "create account" button on the Cohorta website also leads here.
Note: if you received an invitation to an academy by email, create your account from the link in the invitation. You will then join that academy straight away (see chapter 9).
How to create an account with your email address
- Open the Create your account screen (the Create a free account link on the login screen).
- Enter your Full name.
- Enter your Email. The activation link will be sent to this address, and it will become your login.
- Enter a Password. Under the field there is a hint: "Minimum 8 characters.". The eye icon in the field shows or hides the password.
- Tick I accept the terms of service and the privacy policy. Both phrases are links that open the documents in a new tab.
- If a security check appears under the form, complete it.
- Click Create account. The button shows "Creating account…".
- You will land on the login screen with the message Account created. "We’ve sent an activation link to (your address). Check your inbox (including the spam folder) and click the link to finish signing up and log in."
- Open your email and click the link in the message from Cohorta.
- You will be logged in and taken to the Choose an academy screen (see section 1.7).

How to create an account with Google
- Open the login screen.
- Click Continue with Google. The button shows "Connecting to Google…".
- Choose your Google account and confirm consent.
- If you do not have a Cohorta account yet, one is created automatically for your Google address. You will land on the Choose an academy screen.
An account created with Google has no password. You can keep logging in with Continue with Google. If you also want a password, set one through Forgot your password? using your Google account's address (see section 1.5).
What happens automatically
- When you click Create account, the account is created, but logging in only works after you click the activation link.
- If you previously bought something without an account using the same email address, the purchase is linked to your account when you first log in (see chapter 9).
- The account does not belong to any academy yet. You join an academy from an invitation or a purchase, or you create your own (see section 1.6).
Something not working?
- The activation link did not arrive → check your spam folder. On the login screen, under the Account created. message, click Didn’t get the link? Resend it. You will see "We’ve sent the link again to (address). Check your inbox and spam folder."
- Message "Too many attempts. Wait a few minutes and try again." after resending the link → the link can be resent at most 3 times in 15 minutes. Wait a while.
- Message "This field is required" next to a field → fill in that field.
- Message "Invalid email address" → check that the address has an @ sign and a domain, for example jane@company.com.
- Message "The password must be at least 8 characters" → make the password longer.
- Message "Accept the terms and the privacy policy." → tick the terms box.
- Message "An account with this email already exists. Log in instead." → you already have an account. Log in, and if you do not remember your password, use Forgot your password?.
- Message "The password is too weak. Use a longer password with letters and digits." → choose a longer password with letters and digits.
- Message "Too many sign-up attempts. Please try again in an hour" → you can try 5 times per hour from one device. Wait an hour.
- Message "The security check failed. Please try again" → refresh the page and complete the check again.
- You see a "Registration opening soon" screen instead of the form → creating new accounts is temporarily switched off. You can click Book a demo or Leave your details. Existing accounts can log in as usual.
1.4. Logging in and out
What it is for: you enter Cohorta with your account and leave it.
Who can see it: anyone with an account.
Where to find it: the Log in screen (cohorta.pl/zaloguj on cohorta.pl, cohorta.co/login on cohorta.co). If you open a link to a specific screen of the app, for example from an email, while you are not logged in, Cohorta shows the login screen first.
How to log in
- Open the Log in screen.
- In the Email field, enter your account's address.
- In the Password field, enter your password. The eye icon shows or hides it.
- Click Log in →. The button shows "Logging in…".
- If you were opening a link to a specific screen, you go straight back to that screen.
- Otherwise you land on the Choose an academy screen. If you belong to one academy, you go straight to its Dashboard (see section 1.7).

How to log in with Google
- On the login screen, click Continue with Google.
- Choose your Google account.
- You land on the Choose an academy screen or straight on the Dashboard of your only academy.
How to log out
- Click your photo or initials in the top right corner. The account menu opens.
- Click Sign out at the bottom of the menu.
- You return to the login screen.
What happens automatically
- If you are logged in and open the login or sign-up screen, Cohorta takes you straight into the app.
- After you log in, Cohorta checks whether there are purchases made without an account for your address and links them to your account (see chapter 9).
- The number of login attempts is limited: 5 attempts per email address within 15 minutes.
Something not working?
- Message "Could not log in. Check your email and password." → check that Caps Lock is off and that the address is correct. If you do not remember your password, click Forgot your password? (see section 1.5).
- Message "Confirm your email address. The link is in the message from Cohorta." → the account has not been activated yet. Find the message with the activation link (check spam too) and click the link.
- Message "Too many login attempts. Please try again shortly" → wait 15 minutes or set a new password through Forgot your password?.
- Message "Could not start Google login" → refresh the page and try again. If that does not help, log in with your email and password.
- Message "Registration is temporarily closed. Log in to your existing account. New sign-ups are opening soon." after logging in with Google → there is no account for this Google address yet, and creating new accounts is temporarily switched off.
- After logging in you see an empty "Choose an academy" screen → your account does not belong to any academy yet. Ask the trainer for an invitation or create your own academy (see section 1.6).
1.5. Password: reset and change
What it is for: you set a new password when you have forgotten the old one or want to change it.
Who can see it: anyone with an account.
Where to find it: login screen → the Forgot your password? link on the right, in the row with the Password field label.
How to reset your password
- On the login screen, click Forgot your password?.
- You see the Reset your password screen.
- In the Email field, enter your account's address.
- Click Send reset link. The button shows "Sending…".
- You see the Check your inbox screen.
- Open the message from Cohorta and click the link.
- You see the Set a new password screen. For a moment the button shows "Verifying link…".
- Enter your New password and the same in Repeat password.
- Click Set new password.
- The password is changed and you land in the app, already logged in.

How to change your password when you know it
There is no separate password change screen in the settings. You change your password the same way as when resetting it:
- Log out (see section 1.4).
- On the login screen, click Forgot your password?.
- Then follow "How to reset your password".
The same route lets you set a first password for an account created with Google.
What happens automatically
- The Check your inbox screen looks the same whether or not an account with that address exists. Cohorta does not reveal who has an account.
- The link in the message works once and expires after a limited time. If you asked for a reset several times, use the link from the most recent message.
Something not working?
- The message with the link does not arrive → check your spam folder. Also check whether your account was created with a different address from the one you are typing.
- Message "This link has expired or has already been used. Request a new password reset." → click Send the reset link again and use the new link straight away.
- Message "No valid reset link found. Open the password reset from your most recent email." → the screen was opened without the link from the message. Open the link from the most recent email.
- Message "Password must be at least 8 characters." → make the password longer.
- Message "Passwords don’t match." → type exactly the same thing in both fields.
- You no longer have access to the account's email inbox → write to Cohorta (see chapter 12).
1.6. Creating an academy
What it is for: you set up your own academy, where you will create courses, a community and events.
Who can see it: anyone who is logged in. You do not need any role to create an academy.
Where to find it: the Choose an academy screen → Create new academy button. From inside an academy: account menu in the top right corner → Create an academy.
How to create an academy
- Open the Create academy screen.
- Enter the Academy name.
- The Academy address field fills in by itself based on the name. Polish characters are replaced with plain letters and spaces with hyphens. You can edit it.
- Under the field you see what the address will look like, for example cohorta.pl/app/smith-academy.
- Click Create academy. The button stays inactive while either field is empty. While it works you see "Creating…".
- You land in the new academy, straight in the setup wizard (see section 1.8).
The Back to selection link at the top of the screen takes you back to the list of academies without creating a new one.

What happens automatically
- You become the administrator of the new academy.
- The academy starts on the Free plan. Above the content you see the bar "Your plan: Free." with the link Try 7 days free → (see chapter 8).
- The Community, Learning, Events, Resources and Messages modules work in the academy straight away.
- Ready-made roles are created for you to give to members: trainer, moderator, manager and participant (see chapter 7).
- You can change the academy address later in the first step of the setup wizard.
Something not working?
- Message "An academy with that address already exists, pick another" → change the Academy address, for example add a city or a year.
- Message "The academy name must be at least 2 characters" or "The academy address must be at least 2 characters" → make the name or address longer.
- Message "Too many academies created. Please try again in an hour" → one account can create at most 5 academies within an hour.
1.7. Choosing and switching academies
What it is for: you choose the academy you want to work or learn in right now, and move between academies without logging out.
Who can see it: anyone who is logged in. The switcher in the side menu and the list of academies in the account menu appear when you belong to at least two academies.
Where to find it: the Choose an academy screen (shown after you log in), the switcher at the top of the side menu, the account menu in the top right corner.
How to choose an academy after logging in
- After logging in you see the Choose an academy screen with the question "Which academy do you want to work in today?".
- Each academy is a tile with its name, address and your role, for example Role · Member.
- Click a tile. You land on that academy's Dashboard.
At the bottom of the screen there are also the Create new academy button (see section 1.6) and the "Moja biblioteka (kupione ebooki)" button (My library, purchased ebooks; see chapter 9).
How to switch academy from the side menu
- At the very top of the side menu, click the name of the current academy (there is an arrows icon next to it).
- The Your academies list opens. The current academy has a tick.
- Click another academy. You land on its Dashboard.
- At the bottom of the list there is Create an academy. If you have more than 6 academies, you also see See all, which opens the Choose an academy screen.
How to switch academy from the account menu
- Click your photo or initials in the top right corner.
- In the Your academies group, click another academy. The current one is labelled Current.
- See all opens the Choose an academy screen with the full list.
What happens automatically
- If you belong to one academy, the selection screen is skipped. After logging in you go straight to its Dashboard.
- Each academy has its own courses, community, events, notifications and its own academy profile. A course bought in one academy does not appear in another.
- The address in your browser shows which academy you are in: the part after /app/ is the academy address.
1.8. Setup wizard
What it is for: in a few steps you prepare a new academy: name and look, community spaces, first product, first invitation and payments.
Who can see it: the academy administrator (Admin or Owner role). Other roles do not see the wizard.
Where to find it: the wizard opens by itself the first time the administrator enters the Dashboard of a new academy. Until you finish or skip it, every visit to the Dashboard takes you to the wizard.
The wizard has 6 steps: Personalize, Spaces, Product, Invitations, Payments, Done. At the top you see the step name, the counter "Step 1 of 6" and a progress bar.
How to go through the wizard
- Fill in the current step.
- Click Next. Cohorta saves the step (the button shows "Saving…") and shows the next one.
- Back goes back one step.
- In the last step, click Let's go. The button shows "Finishing…", then you land on the Dashboard.
Pressing Enter in a field works like Next.
Step 1: Personalize
The Let's personalize your academy screen: "Name, address and logo, you can change all of it later in settings."
- Check the Academy name.
- Check the Page address. A preview of the address is shown under the field.
- If you like, enter a Tagline (optional), one sentence about the academy.
- Click Upload logo and choose a file. While it uploads you see "Uploading…".
- Choose the Primary color from the colour picker or type a colour code.
- Click Next.

Note on the logo: the hint under the button also lists SVG, but an SVG file will be rejected. Use PNG, JPG or WEBP.
Note on the address: if you change the page address, the address of the whole academy changes. Old links to the academy stop working.
Step 2: Spaces
The Let's build your community screen. You choose the spaces that are created straight away. Clicking a tile selects or deselects it. A counter at the bottom shows, for example, "Selected: 2 spaces".

Announcements and Intro & networking are selected at the start. If you deselect everything, only Announcements is created. You edit spaces later in Administration → Spaces (see chapter 5).
Step 3: Product
The Create your first product screen. You choose a template and Cohorta suggests a name, description and price.

- Click a template.
- Adjust the Product name, Description and Price (PLN). The free course has no price field.
- Click Next. If you do not choose a template, no product is created.

If you already have products in the academy, you see "You already have products in this academy, this step won't create another one." and the form is not shown. You edit the product later in Administration → Products (see chapter 2). You change the price in the pricing option settings.
Step 4: Invitations
The Invite your first member screen. Cohorta sends an email with an invitation link.
- Enter the address in the Email field.
- If you like, enter Name (optional). It appears in the greeting of the email.
- Choose the Role: Member, Trainer or Administrator.
- Click Next. If you leave the Email field empty, the step is skipped.

You invite more people in Administration → Members (see chapter 7).
Step 5: Payments
The Enable payments screen. Here you connect Stripe to accept payments for products.
- Click Set up payments in Stripe. The payments screen in the admin settings opens (described in chapter 3).
- If you want to do it later, simply click Next. Under the button it says "I'll do it later".
If payments are already connected, you see "Payments are already set up. You can continue."
Step 6: Done
The All set, (academy name)! screen with a list of what was done: Academy personalized, Spaces created, First product created, First invitation sent, Payments configured, Everything's ready!. Items with a green tick are done.
Click Let's go to go to the Dashboard.
How to skip the wizard
- In any step from 1 to 5, click Skip setup (bottom left corner).
- You land on the Dashboard. The wizard will not open by itself again.
You can do the missing things from the Step by step to a ready academy list on the Dashboard (see section 1.9).
What happens automatically
- Each step is saved when you click Next. If you close the wizard halfway, you continue from the step where you stopped when you come back.
- The spaces from step 2 are created with Polish names and descriptions, whatever the interface language. You can rename them in the space settings.
- The product from step 3 is visible only to academy members. You set up publishing and the sales page in chapter 2.
- The person invited in step 4 receives an email with a link valid for 7 days.
- The colour from step 1 changes the accent colour in the academy (buttons, highlights in the menu).
Something not working?
- Message "That address is taken. Pick another one." → another academy already has this address. Change the Page address.
- Message "The page address can only contain lowercase letters a-z, digits and hyphens." → fix the address, at least 2 characters.
- Message "The name must be at least 2 characters." → make the academy name longer.
- Message "Niedozwolony format. Dopuszczone: PNG, JPG, WEBP." (Format not allowed. Allowed: PNG, JPG, WEBP.) → upload the logo in one of these formats.
- Message "Plik za duży (…, max 1 MB)." (File too large, max 1 MB.) → reduce the logo file to 1 MB.
- After uploading the logo the preview is empty → carry on. The logo has been saved and appears after you refresh the page.
- Message "You cannot invite somebody with a role equal to or higher than yours" → as an administrator you cannot invite a second administrator in the wizard. Choose Member or Trainer.
- Message "Niepoprawny adres email." (Invalid email address.) → check the address in the Email field.
- Message "Limit kursantów planu Free (50) został osiągnięty. Przejdź na wyższy plan, aby dodać więcej osób." (The Free plan learner limit (50) has been reached. Move to a higher plan to add more people.) → the academy has used up its plan's learner limit (see chapter 8).
- You cannot see the Membership template → membership is available from the Growth plan.
1.9. Dashboard
What it is for: the academy's first screen. It shows what matters to you right now: the course to continue, events, notifications, and for staff also numbers and things to deal with.
Who can see it: every academy member. What it shows depends on the role.
Where to find it: side menu → Dashboard. The Dashboard also opens after you choose an academy.
What a learner sees
At the top there is a greeting that depends on the time of day and the heading "Hi, (name).". Under it, one sentence:
- "You left off at "(lesson)" in "(course)". Pick up where you stopped." when you have a course in progress,
- "Pick a course below to continue learning.",
- "All done. Check out events or the community." when you have completed all your courses,
- "Start your first course to begin tracking progress." when you have no courses yet.
Below, from the top:
- Streak, for example "5-day streak", to the right of the greeting. It appears when you have a streak of active days. When it is red with the words save it, your streak is at risk and you need to do something in the academy today.
- The Continue card with the next lesson, the course name and the percentage completed. The Back to learning button opens the lesson.
- Four tiles: Active courses, Completed, Upcoming events, Unread (notifications).
- Continue learning: a list of your active courses with a progress bar. See all opens Learning. When you have no courses you see No active courses and the Browse catalog button.
- Saved for later: up to 5 lessons you have saved (see chapter 9).
- My upcoming events: up to 5 events you have registered for, with a countdown such as "in 2d 3h".
- Upcoming events: up to 3 of the academy's next events with the event type. When there are none you see No upcoming events.
What staff see: trainer, manager, administrator
At the top there is the heading "Hi, (name)" and four clickable number tiles:

Under the tiles there is the Needs attention list. It only shows items where something is waiting:
- Work to grade (staff),
- Community reports (people with moderation rights),
- Unread notifications.
Clicking an item opens the matching screen. When nothing is waiting you see "Nothing is waiting for you right now.".
If, as staff, you are also learning on a course yourself, you also see the learner view below these blocks.
A Moderator sees the learner view with the Needs attention list of community reports above it.
The "Step by step to a ready academy" list
Who can see it: the administrator.
Under the numbers the administrator sees the Your setup list with 8 tasks and a progress bar, for example "3/8 tasks completed":
- Personalize your academy (description, logo or your own colour),
- Create your first community spaces,
- Create your first product,
- Invite your first member,
- Finish the initial setup (wizard finished or skipped),
- Publish your first post,
- Add your first lesson,
- Schedule your first event.
Clicking a task opens the screen where you do it. Completed tasks are crossed out and have a green tick.
How to hide the setup list
- Click the cross in the top right corner of the list (Hide list).
- The list disappears from the Dashboard in this browser.
What happens automatically
- Tasks on the list tick themselves off when you do them in the academy. The invitation task is also ticked when anyone other than you is in the academy, for example a person who bought a course.
- When all 8 tasks are done, the list disappears by itself.
- The numbers on the tiles are recalculated every time you open the Dashboard.
1.10. Menus and getting around
What it is for: you move between the academy's screens on a computer, tablet and phone.
Who can see it: every academy member. What the menu contains depends on the role (see section 1.2).
Side menu on a computer
On screens wider than a tablet, the side menu is always visible on the left.
- At the top: the academy's logo and name. If you belong to several academies, this is the academy switcher (see section 1.7).
- For you: screens for learning and taking part in the academy. Next to Messages, the number of unread messages.
- Administration (administrator only): screens for running the academy. You collapse and expand the section by clicking its name.
- Account: My library, Notifications (with the number of unread ones), Settings, My profile, Help. The section is collapsed by default. Click Account to expand it.
- At the bottom: your streak (when gamification is on) and the theme switch (see section 1.13).
The active screen is highlighted with a background and a coloured bar on the left.
Menu on a phone and tablet
On phones and tablets the side menu is hidden.
- Tap the menu icon (three lines) in the top left corner. The menu slides in from the left.
- Tap the screen you want to go to. The menu closes by itself.
- To close the menu without choosing anything, tap the cross (Close menu) or anywhere outside the menu.
The top bar on a phone also has a magnifying glass (search), a bell (notifications), the language switch and your photo or initials (account menu).
Account menu (top right corner)
- Click your photo or initials in the top right corner. On a computer your name is shown next to it.
- At the top of the menu you see your name and email address.
- Available items:
- Your academies (when you have several): up to 5 academies and See all,
- Academy settings (administrator only): opens the Settings screen (see section 1.14),
- My profile (see section 1.15),
- Help: the Cohorta help centre,
- Create an academy (see section 1.6),
- Sign out.
Top bar
From the left: the menu icon (phone and tablet), search, and on the right the notifications bell with the number of unread notifications, the language switch and the account menu.
Bars above the content
These bars may appear above the screen content:
- Plan bar (administrator only): "Your plan: Free." with the link Try 7 days free → or, during a trial, "Trial on the (plan) plan: (number) days left" with the link Manage plan (see chapter 8).
- Suspension bar: "Your account is suspended until (date)." or "Your account is suspended permanently." with the reason. During that time you cannot publish posts or comments (see chapter 5).
Adding Cohorta to your phone's home screen
On a phone, after you log in, the banner Add Cohorta to your home screen may appear.
- On Android, tap Install and confirm.
- On iPhone the banner explains: tap Share in the Safari bar, then choose Add to Home Screen.
- If you do not want to, tap Maybe later or the cross. The banner will not come back in this browser.
What happens automatically
- Cohorta remembers in this browser whether the Administration and Account sections are collapsed, separately for each academy.
- The numbers next to Messages, Notifications and on the bell update by themselves, without reloading the page.
- At the bottom of every screen there are links: Help, Terms of service, Privacy policy, Data protection, DPA.
1.11. Search
What it is for: you quickly find a lesson, course, post, event, resource or person in the current academy.
Who can see it: every academy member.
Where to find it: top bar → the Search… field (on a computer) or the magnifying glass icon (on a phone). On a computer you can also press Cmd+K (Mac) or Ctrl+K (Windows).
How to search
- Click Search… or press Cmd+K or Ctrl+K.
- A window opens with the field "Search lessons, courses, posts, events, resources…".
- Type at least 2 characters. Results appear by themselves after a moment.
- Click a result, or choose it with the up and down arrows and press Enter.
- Esc or the cross closes the window.
What you can find

The result type labels are shown in Polish, whatever the interface language. Search shows at most 5 results of each type and at most 20 in total. It only searches the current academy.
Something not working?
- You see "Wpisz co najmniej 2 znaki, żeby zacząć szukać." (Type at least 2 characters to start searching.) → type another character.
- You see "Nic nie znalazłam." (Nothing found.) → try a shorter part of the word or a different form. Search looks for the exact string of characters.
- A result does not open or shows that you have no access → the result belongs to content you cannot access, for example a course you have not bought.
1.12. Notifications
What it is for: you see what happened in the academy that concerns you, for example a quiz or assignment being graded, a new badge or a new direct message. You also set up email reminders for events.
Who can see it: every academy member.
Where to find it: the bell in the top bar, or side menu → Account → Notifications. Reminders: side menu → Account → Settings → Notifications button.
How to view notifications
- Click the bell. The red number on the bell is the number of unread notifications.
- You see the Notifications screen with the latest 50 notifications in this academy, newest first.
- Unread ones have a dot and a bold title.
- Click a notification to go to the thing it refers to, for example a graded assignment.
When you have no notifications you see All quiet and "No new notifications. We'll be back with something good."
Some notification titles are shown in Polish whatever the interface language, for example "Twój quiz został oceniony" (Your quiz has been graded) or "Nowa wiadomość od…" (New message from…).
How to mark notifications as read
- On the Notifications screen, click Mark all as read (top right corner). The button is only shown when there are unread notifications.
- The dots disappear and the counter on the bell goes back to zero.
Opening a single notification does not mark it as read. Use the Mark all as read button.
How to set event reminders
- Side menu → Account → Settings.
- In the Preferences section, click Notifications.
- In the Events section there are two switches:
- Reminder 24h before the event: "We will send an email the day before your registered event starts."
- Reminder 1h before the event: "A short reminder one hour before the start."
- Flip the switch. The change is saved immediately and you see a confirmation.
What happens automatically
- A new notification appears on the list and on the counter without refreshing the page.
- Both event reminders are on by default.
- Reminder settings and the notification list are separate for each academy.
- Reminders only apply to events you have registered for (see chapter 6).
Something not working?
- Message "Could not mark notifications as read. Please try again." → refresh the page and click again.
- Message "Could not save" after flipping a switch → refresh the page and set the switch again.
- Reminder emails do not arrive → check that the switch is on, that you are registered for the event and that the email has not gone to spam (see chapter 12).
1.13. Language and theme
What it is for: you choose the interface language (Polish or English) and a light or dark theme.
Who can see it: anyone who is logged in. The theme switch is also on the login and sign-up screens.
Where to find it: language: top bar → the globe icon with PL or EN. Theme: the sun or moon icon at the bottom of the side menu and in the top right corner of the login screens.
How to change the language
- Click the globe icon with PL or EN in the top bar.
- Choose Polski or English. The current language has a tick.
- The screen reloads in the new language.
How to change the theme
- Click the sun icon (light theme) or the moon icon (dark theme).
- The theme switches to the other one straight away.
What happens automatically
- On your first visit the language depends on the address: cohorta.pl opens in Polish, cohorta.co in English. Your choice takes priority and is remembered in this browser for a year.
- On your first visit the theme matches your computer's or phone's setting. Your choice is remembered in this browser.
- The language changes the interface text. Content written by the academy (course names, lessons, posts) stays in the language it was written in.
1.14. Account settings
What it is for: you see your academy details, your role and the academy's details in one place. From here you go to your profile and notification settings.
Who can see it: every academy member. Only the administrator sees the Admin zone section.
Where to find it: side menu → Account → Settings. Administrator: also account menu → Academy settings.
What is on the Settings screen
The Settings screen ("Your preferences and academy details") has two tabs: General and Profile. The General tab has these sections:

The Your role field shows Academy admin, Member or Platform super admin. A trainer, manager and moderator see Member here. The administrator sees the full role name on the members list (see chapter 7).
How to change your account's email address
You cannot change the email address yourself in the settings. The address is your login and your purchases are linked to it. Write to Cohorta at support@cohorta.pl from both addresses, the old one and the new one (see chapter 12).

1.15. My profile and public profile
What it is for: you fill in details about yourself. One form handles two profiles: your academy profile (seen by members of this academy) and your public profile (seen by anyone with the link, if you turn it on).
Who can see it: every academy member.
Where to find it: side menu → Account → My profile, account menu → My profile, or Settings → Profile tab.
How to fill in your profile
- Open My profile.
- In the Basic details section, enter your Full name and the other fields.
- In the Profile photo section, paste a link to your photo in the Photo link field. A preview is shown next to it.
- In the Links section, paste the addresses of your pages.
- In the Skills and tags section, type a topic in the Topics and skills field and press Enter or click Add. You remove a tag with the cross next to it.
- In the Visibility in the academy section, decide whether other members can see your profile.
- Click Save changes. On a phone the button sticks to the bottom of the screen.
- Preview profile shows how other academy members see your profile.

How to turn on your public profile
- Scroll to the Public visibility section. Your public profile is your card at cohorta.pl/profil/…, shared by all your academies.
- Turn on Show my profile publicly.
- In the Profile address field, enter the end of the address. Cohorta suggests one based on your name.
- In the Roles group, select up to 5 roles that describe you: Mentor, Expert, Learner, Trainer, Training company.
- Click Save changes.
- After saving you see Your link with the full address and the View my public profile button, which opens the profile in a new tab.

What happens automatically
- Your academy profile is separate in each academy. If you belong to several academies, check your full name in each one, because it goes on your certificates.
- Your public profile is one for all academies. It shows your full name, photo, headline, location, about text, topics and links. It does not show your job title.
- Search engines such as Google can find your public profile.
- When you turn off Show my profile publicly, the profile address stops working for others.
- The Show me in the people directory switch saves your consent to appear in Cohorta's people directory. The directory is not available at the moment, so this setting has no visible effect today.
- When you turn off Profile visible to other members, you disappear from the academy's member directory. Academy admins can always see you.
- If you leave the screen with unsaved changes, your browser asks whether you really want to leave.
Something not working?
- Message "This field is required" next to the name → enter your full name.
- Message "Enter at least 2 characters." → your full name must have at least 2 characters.
- Message "Enter the full address, starting with https://" → paste the whole link, including https://.
- Message "Lowercase letters, digits, hyphens. 3-40 characters. Do not start with a hyphen." next to the profile address → fix the address according to this rule.
- Message "That profile name is already taken, pick another." → someone already has this address. Add a city or a middle name, for example.
- Message "A tag can be at most 40 characters." or "Up to 20 tags." → shorten the tag or remove one of the existing ones.
- The photo is not shown → the link must point directly to an image file and be publicly accessible.
- I changed my name, but the old one is still shown → refresh the page.
