4. Curriculum, grading and certificates

This chapter covers the staff side of course content: programs, modules and lessons, quizzes and assignments, grading learners' work, certificates and the resource library. What the learner sees at the same time is covered in chapter 9.

4.1. Course curriculum: programs, modules and lessons

What it is for: you organise course content on three levels. A program is the whole learning path inside a product. A program is split into modules (chapters), and modules into lessons. One product can have several programs.

Who can see it: Owner and Admin, through the Administration menu. Trainer and Manager have permission to edit the program, lessons, quizzes and assignments, but the Products item is not in their menu (details in chapter 10). The tab is available on every Cohorta plan.

Where to find it: side menu → AdministrationProducts → click a product → Programs tab. Ebook and bundle products have no Programs tab (an ebook has a Files tab, a bundle has a Bundle tab, see chapter 2).

At the top of the product page the Programs and Lessons tiles show how many programs and lessons you have. Clicking a tile opens the Programs tab.

How to create a program

  1. Open the Programs tab. When the product has no program yet, you will see "This product has no learning program yet".
  2. Click Create program. When the product already has a program, the button below the list is called Add another program.
  3. In the Program name field enter a name of at least 2 characters.
  4. Click Create. If you change your mind, click Cancel.
  5. The program appears as a card with a header such as "0 modules, 0 lessons".

Instead of creating a program by hand you can click Generate with AI (section 4.2).

How to add a module

  1. On the program card click Module. When the program is empty you can also click Add the first module to the program.
  2. In the Module name field enter a name.
  3. Click Add.
  4. The module is added at the end of the list. Next to its name you see the number of lessons, for example "0 lessons".

How to add a lesson

  1. Click the module name to expand it.
  2. Click the plus icon in the module row (screen reader label: Add lesson).
  3. In the Lesson title field enter a title.
  4. From the list next to it choose the lesson type: Video, Text, Audio, Quiz, Assignment, Live session, Download or Embedded content. Section 4.4 explains the differences.
  5. Click Add.
  6. The lesson appears at the end of the module. Click its title to open the lesson editor (section 4.4).

Each lesson on the list shows a type icon, the title and badges: Draft (unpublished lesson), Preview (lesson with free preview) and the duration, for example "15 min".

How to delete a module or a lesson

  1. Module: click the bin icon in the module row. Confirm in the "Delete the module and all lessons?" window with Delete module.
  2. Lesson: hover over the lesson row and click the bin icon that appears. Confirm in the "Delete the lesson?" window with Delete lesson.
  3. Both operations are irreversible. Deleting a module deletes all its lessons. Deleting a lesson also deletes learners' progress in that lesson.

What happens automatically

  • A new module or lesson is always added at the end of the list. You cannot reorder modules and lessons later by dragging. If order matters, add items in the order you want them.
  • A new lesson is published straight away. If the product is already published, learners will see it immediately, even if it is empty. Turn off the Published switch in the lesson editor until you have finished it.
  • A learner's course progress is the percentage of published lessons completed. Adding a new lesson lowers the percentage for people who are part way through.
  • When a learner completes all published lessons (100%), the system issues a certificate, provided the Certificates feature is on (section 4.8).

Something not working?

  • Message "The name must be at least 2 characters." → the program name is too short. Add at least two characters.
  • Message "A title is required" → the module name or lesson title field is empty.
  • I cannot see the Programs tab → the product is an ebook or a bundle. These types have no learning program.
  • I cannot see the add and delete buttons → your role only lets you view the product. Ask the academy owner.

4.2. Course outline generator (AI)

What it is for: AI suggests a course structure (modules and lessons) based on a topic. Once you accept it, the system creates a new program with empty lessons that you then fill in.

Who can see it: people who can create programs (Owner, Admin, Manager, Trainer). Requires the Starter plan or higher. Monthly AI generation limit per academy: Starter 30, Growth 150, Scale 500, Enterprise unlimited. There is also a limit of 20 generations per hour. The same limit covers writing lesson content with AI (section 4.4). You can recognise AI buttons by the sparkle icon and "AI" in the label.

Where to find it: Programs tab in the product → Generate with AI button (next to Create program or Add another program).

How to generate an outline

  1. Click Generate with AI. The Course outline generator panel opens.
  2. Enter the Course topic. The other fields are optional.
  3. Click Generate outline. While it works, the button shows "Generating…".
  4. You will see the Proposed outline: numbered modules with lessons marked by type.
  5. If the proposal does not suit you, click Regenerate and change the details. Every generation counts towards the limit.
  6. If it fits, click Create course. After a moment you will see "Course created with AI" and the new program appears on the list.

Form fields: course outline generator

FieldRequiredWhat to enterExample
Course topicYesWhat the course is about, 3 to 200 charactersMobile photography basics
Target audience (optional)NoWho the course is for, max. 200 charactersbeginner creators
Number of modulesYesChoose from the list, 3 to 8, default 55
Course goal (optional)NoWhat the learner should be able to do afterwards, max. 300 charactersrun their first photo session

What happens automatically

  • The program is named after the Course topic field.
  • AI uses only four lesson types: text, video, quiz and assignment. Lessons are created without content, quiz questions or assignment settings. You fill them in in the lesson editor.
  • AI writes the outline in Polish, whatever the interface language.
  • Created lessons are published straight away, just like lessons added by hand (section 4.1). If the product is already on sale, unpublish the lessons before you fill them in.

Something not working?

  • Message "AI generation is available from the Starter plan. Upgrade your plan to use it." → your academy is on the Free plan. Changing plans is covered in chapter 8.
  • Message "The monthly AI generation limit (…) has been reached. It resets on the first day of next month." → the academy has used up this month's limit. Wait until the 1st of next month or change your plan.
  • Message "Limit generacji AI osiągnięty. Spróbuj ponownie za chwilę." (AI generation limit reached, try again in a moment) → there have already been 20 generations in the last hour. Wait a little.
  • Message "Generowanie AI jest chwilowo niedostępne. Spróbuj później albo napisz do nas." (AI generation is temporarily unavailable, try later or write to us) → the AI service is temporarily off on our side. Try again later.
  • Message "The AI returned an invalid outline. Please try again." → click Generate outline again. This attempt also counts towards the limit.

4.3. Lesson order and unlocking modules after a number of days

What it is for: you decide when a learner can move on to later parts of the course. There are two independent settings: enforced lesson order in a program, and unlocking a module a set number of days after enrolment.

Who can see it: people who can edit the program (Owner, Admin, Manager, Trainer). Every plan.

Where to find it: Programs tab in the product. The order switch is on the program card, the days field is inside an expanded module.

How to enforce lesson order

  1. On the program card find the Enforce lesson order switch with the description "Learners unlock a lesson only after completing the previous one.".
  2. Turn the switch on. The change is saved immediately.
  3. To go back to free navigation, turn the switch off.

How to unlock a module some days after enrolment

  1. Click the module name to expand it.
  2. In the Unlock after (days from enrollment) field enter a number of days, from 0 to 3650.
  3. Click Save next to the field.
  4. To make the module available straight away, enter 0 or leave the field empty (hint below the field: "0 or empty = available right away") and click Save.

What happens automatically

  • With enforced order, the first published lesson of the program is always available. Each following lesson unlocks when the learner completes the lesson directly before it. Order runs by module, then by lesson within the module, as shown in the list.
  • A quiz lesson counts as completed when the learner passes the quiz. An assignment lesson counts as completed when the trainer approves the work (section 4.7).
  • Unlocking by days counts from the day the learner enrolled in the product. Example: you enter 7, the learner enrolled on 1 March, the module opens for them on 8 March.
  • Both settings apply to learners only. Staff in preview see all lessons.
  • A learner who tries to open a locked lesson sees a message that the lesson is not available yet or that the previous lesson must be completed first (learner view: chapter 9).

4.4. Lesson editor

What it is for: you enter the lesson content and set its type, duration, publishing and free preview. For quizzes and assignments their settings are in the same place (sections 4.5 and 4.6).

Who can see it: people allowed to edit lessons (Owner, Admin, Manager, Trainer). Every plan. Above the page content there is an Admin badge reminding you that this is the staff view.

Where to find it: Programs tab in the product → expand a module → click the lesson title.

How to edit and save a lesson

  1. Open the lesson. Above the form you see the product and module name, with the lesson title below.
  2. In the Basics section edit the Title, choose the Lesson type and enter the Duration (min).
  3. In the Content section fill in the fields that match the lesson type (table below).
  4. In the Publishing section set the Published and Free preview switches.
  5. Click Save at the bottom of the page. The save time appears next to the button, for example "Saved 14:05:12".

Note: quiz settings, quiz questions and assignment settings have their own save buttons (sections 4.5 and 4.6). The Save button at the bottom of the page saves only the lesson fields.

Form fields: lesson

How to write lesson content with AI

  1. Set the lesson type to Text. The AI button is only available for this type.
  2. Above the Lesson content field click Write with AI. While it works, the button shows "Writing…".
  3. AI fills the field with content based on the lesson title. You will see "Content generated, review and save".
  4. Read and edit the text. The new content replaces whatever was in the field.
  5. Click Save. Without this the content is not saved.

Requirements and limits are the same as for the outline generator (section 4.2). AI writes in Polish.

How to move to the next or previous lesson

  1. Above the form there is a bar with the titles of the previous and next lesson and your position, for example "Lesson 3 of 12". The bar is shown when the course has more than one lesson.
  2. Click the title on the left (previous lesson) or on the right (next lesson).
  3. If you have unsaved changes, you will be asked "Go to another lesson without saving?". Click Leave without saving or close the window and save the lesson first.

How to see a lesson as a learner does

  1. In the editor header click Preview as learner. The preview opens in a new tab.
  2. At the top you see "Preview as a learner." with an explanation that progress is not saved and actions (mark complete, submit quiz, submit assignment) are disabled.
  3. To go back, click Back to editor or close the tab.

How to delete a lesson from the editor

  1. At the bottom of the page click Delete lesson.
  2. Confirm in the "Delete the lesson? This cannot be undone." window with Delete lesson.
  3. You return to the product page.

Something not working?

  • Message "This field is required" under the title → the title is empty. Enter a title and save again.
  • Message "Invalid URL" → the Audio URL or Download file URL field contains text that is not a full address. Paste an address starting with https://.
  • Message "Enter a whole number, 0 or more" → enter a number without decimals in Duration (min).
  • Warning "This video lesson has no video URL…" → a Video lesson has no link. If the lesson is published, learners will see it without a player. Add the link in the Content section or unpublish the lesson.
  • The browser asks whether to leave the page → you have unsaved changes. Go back and click Save.
  • A learner cannot see the lesson → check the Published switch. Also check whether the lesson is locked by lesson order or by unlocking after days (section 4.3).
  • The video link field is greyed out and shows a file name → the lesson has a video uploaded directly to Cohorta in the past. Click the cross next to the file, confirm "Remove the uploaded video file?", then paste a YouTube or Vimeo link.

4.5. Quizzes

What it is for: you check the learner's knowledge. The system grades closed questions itself, and you grade text answers in the Grading panel (section 4.7).

Who can see it: people allowed to edit lessons (Owner, Admin, Manager, Trainer). Every plan.

Where to find it: lesson editor for a Quiz lesson → Content section → Quiz questions. There are two blocks: Quiz settings and Questions (n).

How to set up a quiz

  1. In the Quiz settings block enter the Passing score (%).
  2. Optionally enter a Time limit (min, empty = none).
  3. Set the Allow retries and Shuffle question order switches.
  4. Click Save settings in the top right corner of the block.

Form fields: quiz settings

FieldRequiredWhat to enterExample
Passing score (%)YesNumber from 0 to 100. Default 7080
Time limit (min, empty = none)NoNumber of minutes, at least 1. Empty means no limit20
Allow retriesNoOn: the learner can try again after failing, with no limit on attempts. Off: one attempt. On by defaultOn
Shuffle question orderNoQuestions appear in a different order for every learner. Off by defaultOff

How to add a question

  1. In the Questions (n) block click Add question. The New question window opens.
  2. Choose the Question type (types table below).
  3. Enter the Question text.
  4. For choice questions enter the Answer options and tick the correct ones. For a true/false question choose the Correct answer.
  5. Set the Points and optionally an Explanation (shown after submitting).
  6. Click Save question. The question is saved immediately and added at the end of the list.

Form fields: question

FieldRequiredWhat to enterExample
Question typeYesOne of five types, default Single choiceMultiple choice
Question textYesThe question, at least 2 charactersWhich settings affect depth of field?
Answer optionsYes, for choice questionsAt least 2 options (Option A, Option B…). Add more with Add option, remove with the bin icon. The box next to an option marks the correct answerOption A: aperture
Correct answerYes, for true/falseChoose True or FalseTrue
PointsYesNumber from 0 to 100, default 12
Explanation (shown after submitting)NoText the learner sees after submitting the quizAperture and distance to the subject change the depth of field.

Question types

TypeHow the answer is graded
Single choiceAutomatically. One correct option. Tick it with the box next to it ("Tick the box next to the correct answer."). The learner gets full points for a hit and zero for a miss
Multiple choiceAutomatically. You can tick several correct options. The learner gets points only when they select exactly all the correct options and no wrong ones. There are no partial points
True/FalseAutomatically. Full points when the answer matches
Short answerManually, by the trainer in the Grading panel. The question window shows the note "Text questions are graded by hand in the "Grading" panel."
Long answerManually, like a short answer. The learner gets a larger text box

How to reorder, edit or delete a question

  1. Order: click the up or down arrow next to the question. The change is saved immediately.
  2. Edit: click the pencil icon. The Edit question window opens. After your changes click Save question.
  3. Delete: click the bin icon and confirm in the "Delete this question?" window with Delete. The question disappears from the quiz and existing learner answers stay in the archive.

On the list each question has a badge with its type and number of points, for example "2 pts".

What happens automatically

  • The score is the points for correct answers divided by the total points of all questions, as a percentage. The quiz is passed when the score is equal to or higher than the threshold.
  • When a learner passes the quiz, the lesson is marked as completed.
  • When the quiz has text questions, the learner sees a preliminary score and the message "Your score is waiting for the trainer". The quiz is not passed until you have graded all text answers from that attempt. After you grade the last one, the system recalculates the score and, if the threshold is reached, marks the lesson as completed.
  • With retries turned off, a learner who has submitted the quiz once cannot start it again.
  • With a time limit, the learner sees a countdown and the quiz submits itself when time runs out.
  • Correct answers and explanations are not sent to the learner before they submit the quiz.
  • Changing the threshold affects later grading. Scores of attempts already calculated do not change.

Something not working?

  • Message "The question is too short" → enter at least 2 characters of question text.
  • I cannot remove an answer option → a choice question must have at least two options. Add a new option first, then remove the one you do not need.
  • A learner says they see "This quiz can only be taken once." → retries are off. Turn on Allow retries and click Save settings.
  • A learner scored above the threshold but the lesson is not completed → the quiz has text questions waiting for your grade. Grade them in the Grading panel (section 4.7).
  • I changed the settings and nothing happened → settings are saved by the Save settings button in the quiz block, not by the Save button at the bottom of the page.
  • A learner sees "This quiz has no questions yet." → add questions to the quiz.

4.6. Assignments

What it is for: the learner submits practical work as a file, text, or both. The trainer grades it and can also return it for revision.

Who can see it: people allowed to edit lessons (Owner, Admin, Manager, Trainer). Every plan.

Where to find it: lesson editor for an Assignment lesson → Content section. It contains the Assignment instructions field, the Assignment settings block and the Description / lesson notes field.

How to prepare an assignment

  1. In the Assignment instructions field describe what the learner should do and how to hand in the work.
  2. Click Save at the bottom of the page to save the instructions.
  3. In the Assignment settings block set the maximum file size, due date, allowed extensions and the text answer requirement.
  4. Click Save settings in the Assignment settings block. The save time appears below the block heading.

Form fields: assignment settings

FieldRequiredWhat to enterExample
Max file size (MB)YesNumber from 1 to 50. Default 1020
Due dateNoDeadline for the work. The learner sees it with the assignment30.10.2026
Allowed extensions (comma separated)NoFile extensions without the dot. Default pdf, docx, png, jpg, jpeg. An empty field means the learner can send a file of any typepdf, docx, png, jpg
Require a text answerNoOn: the learner must describe the work, on top of the file. Off by defaultOn

What happens automatically

  • The learner must send a file or text. With Require a text answer on, text is mandatory.
  • The due date is for information only. The system does not block submissions after the date.
  • Submitted work goes to the Grading panel, Assignments tab (section 4.7).
  • Each learner has one submission per assignment. After a return for revision the learner sends a new version, which replaces the previous one. The learner cannot change work that has been approved.
  • An assignment lesson counts as completed when you click Approve while grading the work.

Something not working?

  • A learner reports the message "This file type is not allowed. Allowed: …" → the file extension is not on the allowed list. Add it to Allowed extensions and click Save settings, or ask the learner for another format.
  • A learner reports the message "Plik za duży: …MB > …MB" (file too large) → increase Max file size (MB) (up to 50) or ask for a smaller file.
  • A learner reports the message "A written answer is required" → the text requirement is on. The learner must type something in the answer field.
  • A learner reports the message "This submission has already been graded. Contact the trainer to change it" → the work has been approved. An approved grade cannot be undone from the panel.

4.7. Grading

What it is for: in one place you grade text answers from quizzes and assignment submissions, and review assignments that have already been graded.

Who can see it: Owner, Admin, Manager and Trainer. Member and Moderator have no access. Every plan.

Where to find it: Owner and Admin: side menu → AdministrationGrading. Trainer and Manager: side menu → Grading (item in the main part of the menu). A trainer also has a To grade tile on the Dashboard with the number of items waiting.

The page has three tabs. The number in brackets is the number of items:

  • Text answers (n): answers to short and long answer questions waiting for points. The oldest are at the top.
  • Assignments (n): work submitted by learners and not graded yet. The oldest are at the top.
  • Graded (n): approved assignments, read only.

How to grade a text answer from a quiz

  1. Open the Text answers tab.
  2. Each card shows the question type, the learner's name, the lesson title, the maximum points (for example "Max 2 pts"), the Question and the Learner answer.
  3. In the Points field enter the number of points. The field is empty until you type something, and the Grade button works only after you enter a number.
  4. Optionally enter a Comment (optional). The learner sees it next to their answer as trainer feedback.
  5. Click Grade or press Enter in the points field.

How to grade an assignment

  1. Open the Assignments tab. Each card shows the Pending status, the learner's name, the lesson title and the submission date, for example "Submitted 12/10/2026, 14:05".
  2. If the learner sent a file, click the button with the file name. The file opens in a new tab. The link works for 10 minutes, after that click the file name again.
  3. If the learner sent text, you can read it in the Learner answer block.
  4. In the Grade (out of 100) field enter the number of points. The field starts with a suggestion of 60% of the maximum. Change it to your grade.
  5. In the Comment field write your feedback for the learner.
  6. Click one of the buttons:
    • Approve: the grade is final, the work moves to the Graded tab and the lesson counts as completed for the learner.
    • Return for revision: the work goes back to the learner with your comment. The learner can send a corrected version, which will appear again in the Assignments tab.

Form fields: grading

FieldRequiredWhat to enterExample
Points (text answer)YesNumber from 0 to the question's maximum points2
Comment (optional) (text answer)NoReason for the gradeGood answer, an example is missing.
Grade (out of 100) (assignment)YesNumber from 0 to 10085
Comment (assignment)NoFeedback on the work. When returning for revision, say what needs to changeFix the exposure in photo 3.

What happens automatically

  • After grading, the item disappears from the waiting list and the counter in the tab name goes down by one.
  • The points field will not accept a value below 0 or above the maximum.
  • A text answer given full points counts as correct, less than full as incorrect. Partial points are included in the quiz score.
  • After you grade the last text answer from an attempt, the system recalculates the quiz score. When the score reaches the threshold, the lesson counts as completed for the learner.
  • The learner gets an in-app notification (under the bell): about the graded quiz with the percentage score, about the graded assignment with the points, or about the assignment returned for revision. For a quiz, the notification is sent only after the last text answer is graded. No email is sent.
  • An assignment returned for revision does not appear in any tab until the learner sends a new version.
  • A graded text answer from a quiz disappears from the panel and does not go to the Graded tab. That tab shows assignments only.

Something not working?

  • I cannot see Grading in the menu → you have the Member or Moderator role. Grading is for Trainer and above.
  • The Grade button is inactive → the Points field is empty. Enter a number.
  • The submitted file does not open → the link expired after 10 minutes. Click the file name again.
  • A learner says they submitted work but I cannot see it → check the other tab. Quiz text answers and assignments are two separate lists.
  • I want to change a grade I have given → the Graded tab is read only. An approved grade cannot be changed from the panel. Write to support@cohorta.pl (chapter 12).
  • I graded the work but the learner's progress has not moved → the quiz score did not reach the threshold, or Return for revision was clicked instead of Approve.

4.8. Certificates

What it is for: a learner who completes a course gets a PDF certificate with a number and a public verification page. On this page you review all issued certificates, issue a certificate manually and revoke it.

Who can see it: Owner and Admin through the menu. Trainer and Manager can also issue and revoke certificates, and they open the page with the Certificates tile on the Dashboard. Requires the Certificates feature to be on (side menu → AdministrationAdmin settingsFeatures). The feature is on by default and available on every plan.

Where to find it: side menu → AdministrationCertificates.

How the certificate looks

The certificate has one fixed layout. There is no template editor. The landscape A4 PDF contains:

  • the academy logo (or the initials of its name when no logo is set) and the academy name,
  • the title "Certyfikat ukończenia" (certificate of completion), the learner's name and the product name,
  • the date of issue,
  • the signature: the name of the person who created the product, and the academy name as the issuer,
  • the certificate number and the address of the verification page.

You change the logo in the branding settings (chapter 8). The learner's name comes from their profile in the academy.

How to find a certificate on the list

  1. Open the Certificates page. The table has the columns Date, Learner, Product, Number, Status and Actions.
  2. To narrow the list, choose a Product or set From and To dates. The list refreshes on its own. Clear the filters with Clear.
  3. To sort, click the Date, Learner or Product header. A second click reverses the order.
  4. Click the certificate number to open the public verification page in a new tab.
  5. Click PDF in the Actions column to download the file. When there is no file you will see "no PDF".

The Issued status means a valid certificate, Revoked a withdrawn one.

How to issue a certificate manually

  1. At the top of the page find the Issue certificate manually block.
  2. From the Enrollment list choose a learner and course. Each item looks like "name, product (enrollment status)", for example "Anna Nowak, Photography course (Active)". The list shows only enrollments that do not have a certificate yet.
  3. Click Issue certificate. While it works, the button shows "Issuing…".
  4. You will see a confirmation such as "Certificate issued for Anna Nowak, Photography course." and the certificate appears in the table.

Important: when you issue manually, the system creates the number and verification page, but it does not create a PDF file and does not email the learner. The Actions column shows "no PDF". The PDF and email are only produced by automatic issuing.

When there are no enrollments without a certificate, the block shows: "No enrollments available for issuing a certificate. Automatic certificates are issued after completing the course at 100%."

How to revoke a certificate

  1. In the certificate row click Revoke.
  2. In the "Revoke this certificate?" window check the learner's name at the end of the description.
  3. Click Revoke.
  4. The status changes to Revoked.

Revoking cannot be undone. You also cannot issue a new certificate for the same enrollment.

How to export the list of certificates

  1. In the top right corner of the page click Export CSV.
  2. The browser downloads a file with the columns Number, Product, Learner, Issued and Status.
  3. The file contains all certificates in the academy, regardless of the filters you have set.

What happens automatically

  • When a learner completes all published lessons of a course (100% progress), the system issues a certificate by itself: it assigns a number in the format EXC-year-code (for example EXC-2026-4F9A21C0DE), creates the PDF and emails the learner with the file attached and a verification link.
  • Each enrollment in a product can have only one certificate.
  • When the Certificates feature is off, the system does not issue certificates automatically and the Certificates item disappears from the menu. After you turn it back on, a certificate is created at the next 100% course completion.
  • After a certificate is issued (automatically or manually), an automation triggered by certificate issuing can run, if you have set one up (chapter 7).
  • The public verification page shows the academy name, the learner's name, the product and the date. For a revoked certificate it shows "Invalid certificate" with the information that a certificate with this number does not exist or has been revoked.
  • The PDF content is in Polish.

Something not working?

  • Instead of the list I see a message that the module is off → turn on the Certificates feature in Admin settingsFeatures (chapter 8).
  • Message "The certificate has already been issued" → this enrollment already has a certificate, including a revoked one.
  • A learner completed the course but has no certificate → check that the Certificates feature is on and that the learner completed all published lessons. A quiz lesson counts once the quiz is passed, an assignment lesson once the work is approved. If needed, issue the certificate manually.
  • The Actions column shows "no PDF" → the certificate was issued manually or the file could not be created. The number and verification page work.
  • A learner says they did not get an email with the certificate → the email is sent only with automatic issuing. The learner can check the certificate in the app (chapter 9).

4.9. Resource library (Manage resources)

What it is for: you keep files for academy members in one place: PDFs, templates, recordings, documents and bonuses. Each resource can be available to all members or only to people with selected products. Do not confuse this with ebook files: the file of an ebook you sell is added in the product, on the Files tab (chapter 2).

Who can see it: Owner and Admin through the Administration menu. Trainer and Manager can also upload resources, but the item is not in their menu (chapter 10). Every plan. Learners browse the library under Resources (chapter 9).

Where to find it: side menu → AdministrationManage resources. The page is titled Resources, with a counter below, for example "12 resources · 4 public · 3 for enrolled learners".

How to browse and filter resources

  1. Type in the Search resources… field. The search covers the title and description.
  2. Choose the access: All, Public, Members (for all academy members) or Gated (only for owners of selected products).
  3. From the All types list choose a file type: PDF, Audio, Video, Image, Archive, Document or File.
  4. Clear the filters with Clear. Below the filters you see a counter, for example "3 of 12 resources".
  5. The table shows Title, Type, Size, Access and the number of Downloads. On a phone only the title and buttons are shown.
  6. Click Preview to see the resource page as an academy member sees it.

How to upload a resource

  1. Click Upload resource (or Upload another below the table).
  2. Drag a file onto the File field or click it and choose a file from your computer. While uploading you see "Uploading…".
  3. The title is filled in from the file name. Change it if needed.
  4. Optionally enter a Description and add a Thumbnail.
  5. Set the access: turn on Public resource, or leave it off and select Required products (gating).
  6. Click Add resource. You return to the resource list.

To swap a wrongly chosen file before saving, click the cross next to the file name (Remove file) and choose a new one. The Cancel button goes back to the previous page without saving.

How to delete a resource

  1. In the resource row click the bin icon.
  2. Confirm in the "Delete „…"?" window with Delete.
  3. The resource disappears from the library for all members and the file is deleted. This cannot be undone.

An uploaded resource cannot be edited. To change the file, title or access, upload the resource again and delete the old one.

What happens automatically

  • When several products are selected, a member needs active access to just one of them.
  • Staff (Owner, Admin, Manager, Trainer) have access to all resources.
  • A member without the required product sees the resource on the list marked Locked, with information on which product it requires.
  • Every file download increases the counter in the Downloads column. Previewing on the resource page does not.
  • The download link works for 5 minutes. After that, just click Download again.

Something not working?

  • Message "Upload the main file" → no file has been chosen. Upload a file before clicking Add resource.
  • Message "Title is required" → the Title field is empty.
  • Message "The file is too large (max 100 MB)" → make the file smaller or split it into parts.
  • Message "The file is empty" → the file has 0 bytes. Check it on your computer.
  • Message "The thumbnail must be an image" → choose a JPG, PNG or WebP file as the thumbnail.
  • Message "Could not upload the file. Please try again." → the file type is not on the allowed list or the connection was interrupted. Save PowerPoint presentations as PDF and upload again.
  • Message "No products in the academy…" → you have no products yet, so you cannot limit access to product owners. Create a product (chapter 2) or make the resource available to all members.
